For a reseller’s stock routine, pending means you have agreed a hold; sold means the transaction is complete. An enquiry such as “Is this available?” is neither. If the item is also advertised on eBay or Depop, a Facebook status change is only one part of managing its availability.

Also read the wording carefully: awaiting Facebook review is a publishing state, not evidence that a buyer has reserved the item. This guide concerns buyer holds, completed sales and the physical stock behind multiple adverts.

Choose a status from what has actually happened

Use this as a stock-management decision table, not a list of buttons guaranteed to appear in every Facebook account:

SituationWhat your stock record should sayYour next action
Someone asks a questionAvailable; enquiry receivedAnswer without recording a sale
You agree to hold until a set timeReserved; collection outstandingManage availability on every marketplace
Buyer completes the transactionSoldUpdate every matching advert and record the actual sale
Buyer cancels or the agreed hold endsRecheck requiredConfirm possession and current listings before making it available
Facebook is reviewing a new listingPublication unresolvedCheck the notice; do not record a buyer reservation

A private record can be more precise than a public status. For example: “Held until Saturday 11 am; pickup not yet completed; eBay availability checked.” Keep buyer details in the appropriate private conversation, rather than adding them to a public listing.

Agree the hold before treating the item as reserved

Set a realistic collection time and make the arrangement clear. Here is an illustrative message:

I can hold the jacket until 11 am Saturday for the agreed A$35. Please let me know if your plans change. We can confirm the meeting point here before collection.

Do not silently extend the hold or promise the same item to a second buyer during the agreed reservation. If plans change, resolve the arrangement in the conversation before offering the item again.

A reservation is not revenue. Keep it separate from completed sales so your records do not count a no-show as a successful sale.

Check the other marketplaces while the item is held

If you reserve a one-off item on Facebook but leave it purchasable elsewhere, another buyer may complete checkout before the collection happens.

Open the matching eBay and Depop listings. Use each marketplace’s appropriate controls for your listing type and situation to stop offering stock you have committed to hold. Inspect any bids, offers or orders before taking action; do not assume every listing can be paused in the same way.

Writing “pending pickup” in a description does not itself stop checkout. Nor does a similar title prove that two listings belong to the same item. Match the stock reference, photographs and physical item before changing anything.

For a wider stock check, use the inventory reconciliation guide.

Update Facebook when the sale completes

Open Marketplace, go to your selling area or Your listings, and find the correct item. Choose Mark as sold where offered; in some layouts, listing actions are inside a menu. If the buyer has only arranged collection, use Mark as pending if available and keep your private hold record up to date.

Facebook’s layout and labels vary. DHL’s guide describes marking an item sold and making it available again if a sale falls through. Marketplace status walkthrough

Then verify the matching adverts on the other marketplaces. If you created separate posts in local groups, check those as well. Use your records to find them instead of relying on memory.

Record the actual agreed sale amount. If a buyer negotiated a different amount from the asking price, the asking price is not a reliable record of the transaction.

If the buyer cancels or does not arrive

Work through the item before relisting it:

  1. Confirm the reservation has ended and the item is still physically with you.
  2. Check for a completed order on another marketplace.
  3. Recheck condition and included accessories if anything changed.
  4. Inspect existing adverts so you do not create duplicates.
  5. Restore availability where appropriate and record the result.

If you ended an eBay or Depop listing during the hold, making Facebook available again does not prove those adverts have been restored. Check each one deliberately. Our returns and cancellations guide covers the related problem of returning previously sold stock to inventory.

What to check when using Listalong

Listalong now supports linked Facebook stock through its Chrome or Edge connector. Keep your computer on, browser open and Facebook signed in, and confirm that the Facebook advert is linked to the correct physical item. See the Facebook crosslisting setup for the connection requirements.

With the connector connected, marking a linked Facebook item pending or sold ends its matching eBay and Depop listings. Pending is not recorded as a sale. When a linked item sells on eBay or Depop, Listalong can mark the Facebook advert sold. If a buyer falls through, marking the Facebook item available triggers a reminder to relist elsewhere; it does not automatically restore ended listings.

Check the item links, connection state and completed result. If the physical item is committed to a buyer and another advert is still purchasable, investigate that discrepancy instead of assuming a background update has finished. For a worked example, see selling on eBay and Facebook at the same time.

A short end-of-day stock check

Review the day’s completed sales and outstanding holds separately. For each one, locate the physical item, confirm its stock reference and inspect every place it is advertised.

You do not need an elaborate spreadsheet. A row containing stock reference, hold or sale, agreed time, listing links, last checked and next action is enough to make unfinished work visible. The aim is a record that distinguishes “I expect this to update” from “I checked this listing and it is no longer available.”

For wording you can send to a buyer, use the pickup confirmation and no-show templates. They distinguish an unpaid hold from a paid order that still needs resolving.

Frequently asked questions

What is the difference between pending and sold on Facebook Marketplace?

For your stock routine, treat a pending sale as an agreed reservation that is not yet complete, and sold as a completed transaction. A listing awaiting Facebook review is a different situation from a buyer reservation.

Does marking a Facebook listing pending stop it selling on eBay?

Changing Facebook alone does not establish that a separate eBay listing has ended. Check any connected software's supported behaviour and verify the matching eBay listing, or manage its availability yourself.

What should I do when a Facebook buyer does not collect?

Resolve the agreed hold, confirm you still have the item and check whether it sold elsewhere. Then make it available again where appropriate, checking existing adverts before creating new ones.
